Personal Assistant
  • Perform secretarial duties in support of Education department including but not limited to, scheduling meetings, planning and managing calendar, tracking reporting requirements, arranging travel, visas and hotels, data management and filing;
  • Responsible for distribution of agenda, reproduction and distribution of documents or informational materials and/or other pre-meeting initiatives requiring contact with attendees;
  • Organise, attend and coordinate formal meetings, conferences and internal seminars, workshops, and ensure the manager is well-prepared for meetings;
  • Take notes or dictation at meetings and provide general assistance during presentations. Liaise with attendees on the summary minutes of such meetings with special emphasis on resolutions, initiatives and /or special assignments resulting from the meeting;
  • Screen phone calls, enquiries and requests, and handle them when appropriate;
  • Meet and greet visitors at all levels of seniority;
  • Organise and maintain diaries, make appointments and liaise with clients;
  • Deal with incoming email, faxes and post, often correspond on behalf of the manager;
  • Provide high-level administrative support by producing documents, briefing papers, reports and presentations independently for manager to deliver;
  • Handle confidential information which would have immediate negative impact on the company operations, performance, or value if shared beyond its intended audience;
  • Translate when required;
  • Carry out specific projects and research, take responsibility for accounts and budgets;
  • Perform other duties as assigned.

Requirements:

  • Relevant university degree (recognized by the state) or equivalent professional qualifications;
  • 3 years above related working experience;
  • Strong interpersonal and good communication skills;
  • Familiar with Microsoft Office, including Word, Excel and PPT;
  • Good written and spoken English skills;
  • Self-motivated individual with problem solving skills; and able to work with good level of independency;
  • Familiar with internal systems would be a plus.
